**Advertised Summary Job Description**

The Division Administrator will be responsible for the monitoring and oversight of the financial, marketing and academic functions of the office in the Division of Colorectal Surgery and the Center for Innovations and Outcomes Research (CIOR). He/she will also work closely with the practice manager in the Division of Colorectal Surgery and cover the management as well as daily functions of the practice.

Will manage patient and workflow processes which include but are not limited to front desk, secretarial and MA staff activities; oversee front-end revenue cycle functions including registration, insurance verification, referrals, authorizations, coding and charge entry utilizing available tools and resources. Will arrange coverage for support staff as needed and monitor customer service and Implement improvement initiatives. Will also be responsible for facilities management, including monitoring, planning, allocation of space and assessing equipment needs and purchasing. Will reconcile all clinical revenue, practice expense, and budget activity utilizing university systems (ARC). Will manage clinician reappointment, licensure, DEAs and enrollment into insurance plans, act as liaison for all practice related activities with Shared Practice, FPO, CPPN, Office of Finance, Central Admin and other University Hospital offices as necessary.

Will manage all aspects of staffing and human resources including but not limited to: recruitment, pre-screening, hiring, orienting and training, evaluations, disciplinary and termination issues. Will develop standards of performance and methods for the measurement of these standardsand advise staff of these standards and ensures understanding of expectations. Will maintain personnel records including time and attendance records and utilize all human resources systems to track and process all personnel activities. Will manage Crown system and responsible for all equipment, training, system access and trouble shooting for all faculty and staff. Will function as Division EMR SuperUser? leading efforts in all Pay-for-Performance Initiatives. Will oversee the implementation of planning decisions and manage and improve operation of the support functions of the Division including, the clinical trials unit, and billing office. Will ensure customer satisfaction and service excellence and support the divisional goals and objectives related to education and research and community involvement. Will represent the Division at meetings as requested, supervise all administrative, research and medical support staff in the division. Will develop, evaluate and manage marketing strategies to promote the Division and encourage patient referrals. Will assist Division Chief in strategic planning for the Division. Will also be responsible for working with HR in the timely onboarding of staff, providers and research fellows. Will monitor divisional performance metrics, expenses and work-flow and work with Division Chief to improve efficiency and cost-effectiveness. Will cover for the various office staff when needed to ensure the smooth functioning of the office and ensure that all patients, visitors, guests and co-workers receive personalized, prompt attention and are treated with receptiveness, dignity and respect. Will ensure that all division faculty and staff conform to HIPAA, billing compliance and safety guidelines; ensure service excellence by becoming thoroughly familiar with the "Seven Principles of Behavior" and put them into practice.
