**Advertised Summary Job Description**

The Pancreas Center Administrative Coordinator is responsible for the coordination of care for all new pancreas patients referred to its multi-disciplinary program: working with staff within Medical Oncology, Surgery, Interventional GI, Prevention & Genetics Program, and the Pancreatic Cyst Surveillance Program including all ancillary care programs such as nutrition, palliative care and social work. The incumbent will work closely with the new visit scheduler and data managers of the program to develop standard measurements for program growth and ensure collection of up to date information. He/She will be involved in marketing and referral projects, working with our patient support group and work closely with the Director to strategize and develop opportunities for growth of the program as dictated in the mission of the Pancreas Center.

Will be responsible for creating a standardized process with clinical care team in reviewing all new visit paperwork and ensuring a 48 hour turn around time for appointment, developing a process of assigning referrals to each of the physicians with regards to their specialties and supporting reputational growth of junior/new physicians to the program.

Will streamline the process for obtaining and copying outside radiology CDs , develop standard process for referrals to the Pancreas Center and collect/analyze referral data. Under the guidance of the Director of the Pancreas Center, organize and follow up on meeting agendas and other administrative functions at leadership meetings with Medical Oncology, Interventional Endoscopy, Surgical Oncology, Basic Science research and other ancillary programs. Will provide coverage for new visit appointment scheduler as needed. Will serve as liaison between the Director of the Pancreas Center and the Columbia Development Office regarding donor events and fundraisers. Will participate in patient education events and serve as liaison to national organizations such as PANCAN and Lustgarten. Will maintain listing of up to date open clinical trials and recruitment numbers and work closely with the Cancer Center to ensure collection of standardized data for research. Will support weekly multi-disciplinary conference as needed and ensure proper follow up of discussions at the conference. Will also support Pancreas Center Clinical Care team as needed. Will develop potential for international growth of The Pancreas Center. Will work closely with leadership of the Muzzi Mirza Pancreatic Cancer Prevention & Genetics Program and the Pancreatic Cyst Surveillance Program and with the Director of the Pancreas Center to keep up to date information on the pancreas center website, patient educational materials and social media outlets. Will

also complete special projects as requested by the Division Administrator, Division Chief or other members of clinical care team. Will maintain a neat and orderly work area, work as a functional member of the division andl attend staff meetings as requested.

**Minimum Qualifications for Grade**

BA Degree or the equivalent in education, training and experience, plus two years of related experience.
