**Advertised Summary Job Description**

The Administrative Clerk is responsible for assisting in all activities related to the orderly running of the physician practice. He/she is responsible for answering phones, dissemination of appropriate information, and all other duties assigned by the Physicians, and the Division Administrator. The Administrative Clerk will ensure that all patients, visitors, guests and co-workers receive personalized, prompt attention and are treated with receptiveness, dignity and respect.

Duties include but are not limited to: Front desk reception which includes answering phone in a pleasant/responsive manner and direct calls appropriately; Retrieve and return all calls from Beryl as indicated in the daily workbook; take messages that are clear and legible and disseminate; Schedule appointments (office visits and ancillary services) in the proper format; collect all co-pays and patent fees (cash, check, or credit card) Confirming next day appointments; ensure proper referrals and/or pre-certifications are in place; verify all insurance eligibility; prepare patient charts for upcoming appointments; scan chart notes and other medical information in appropriate chart, following proper charting procedures; assist in maintaining patient files in accordance with various governmental and practice standards; obtain physician authorization to release medical records; distributes physician schedule to physician, laboratory staff and the floor nurse; responsive to patient needs; ensure physician billing is in requisite Division format prior to delivery to billing department; ensure that all patient visits have billing documentation that is submitted to the billing department, including but not limited to all relevant and accurate patient demographic and insurance information; faxing and copying as requested;; stamp out-going mail and deliver to mailroom at the end of business; run errands as requested by the Physicians, or Division Administrator; follow up on issues as requested by the Physicians, the Division Chief, or Division Administrator; sort and distribute mail. Other duties as assigned.

**Minimum Qualifications for Grade**

Requires two years of college or completion of secretarial school or equivalent business experience, plus a minimum of two to three years related experience.

Ability to work independently and takes initiative to improve overall office operations. Strong interpersonal skills

Computer Literate.

**Special Instructions**

**Preferred Qualifications**

Knowledge of IDX-Tend scheduling system and CROWN knowledge are preferred. Bachelor's degree desirable. Bilingual Chinese strongly desirable.
